Despatch & Delivery Update – Last Posting Dates For 2017

There are only a few weeks left before Christmas, which means that those all-important despatch and delivery deadlines are creeping closer and closer.

If you’re planning to buy self-adhesive labels in December, our advice – as ever – is to order AS SOON AS POSSIBLE (if not RIGHT NOW!) and to put small orders (under 250 sheets) on our guaranteed next day delivery service.

While we do everything we can to get orders despatched as quickly as possible, our despatch AND delivery estimates are increasing:

  • More orders are being placed (usually for larger quantities), which means there are more sticky labels in the queue for manufacturing – increasing DESPATCH estimates for made to order items and bulk boxes (up to 5-7 working days).
  • More items are being delivered; we always despatch orders as quickly as possible but have no control over delays within the Royal Mail’s network or our carrier’s network – possibly increasing DELIVERY estimates for all orders.

Generally speaking, GUARANTEED delivery services tend to maintain expected levels of service – it is only the Royal Mail’s first class service (used for small orders) that experiences delays, which is why we strongly recommend upgrading to a guaranteed delivery service.

What’s In A (Product) Name? Quite A Lot Really!

Our product codes are designed to be as simple and useful as possible, which means that (if you look closely enough) you can find out all sorts of information about our self-adhesive labels just by looking their product codes.

While a lot of label products have (random) alphanumerical codes that are easily confused and hold no meaningful reference to their products, we wanted our product codes to be as useful as the sticky labels themselves.

This is why we’ve created a system for labelling our printer labels, to incorporate the main features of each product (e.g. label size and shape, labels per sheet, label adhesive and material, colours and finishes etc) into the product code – so you know exactly what you’re getting from the start!

All of our blank label products (except for our CD & DVD labels and franking labels) have a code based on the following formula:

LP + No. of Labels Per Sheet + / + Label Width + Label Shape* + Label Adhesive/Material*


1. LP

We start with “LP” to make it absolutely clear that a code belongs to self adhesive labels from Label Planet. Some companies use the SAME product codes as other companies, which can make it impossible to know where you bought a particular set of blank labels.

2. Self Adhesive Labels Per Sheet

Next we list the number of adhesive labels per sheet, followed by a forward slash.

3. Width

Then we list the width of the label size (rounded to the nearest round number); for round labels this is the diameter of the circular labels and for  oval labels this is the widest part of each oval label.

This is where the product codes for (most of) our rectangular standard matt white permanent labels end – for example:

  • LP65/38: 65 rectangular labels per sheet with a label width of 38.1mm
  • LP4/99: 4 labels per sheet with a label width of 99.1mm
  • LP21/70: 21 labels per sheet with a label width of 70mm

The rest of our sticky labels have additional elements to indicate their shape, adhesive, material, finish, and colour.

4. Blank Label Shape

First, we add a label shape; square cut rectangular labels with a selvedge (blank strips at the top and bottom of each sheet) will have “S”, round labels have “R”, oval labels have “OV”, and square labels have “SQ” – for example:

  • LP24/70S: 24 rectangular labels per sheet with a label width of 70mm and a selvedge of 8.7mm at the top and bottom of each sheet
  • LP4/100R: 4 round labels per sheet with a diameter of 100mm
  • LP8/90OV: 8 oval labels per sheet measuring 90mm at their widest point
  • LP35/37SQ: 35 square labels per sheet with a label width of 37mm

The only exceptions are our CD labels & DVD labels, which begin with “LPCD” followed by the diameter of the round labels (e.g. LPCD117).

5. Material / Adhesive

Next we add the label adhesive and/or material; each product range has its own “range code”, which is taken from the initials of the material(s) used to make that particular product – for example:

  • DF: Paper Labels with a Deep Freeze Adhesive
  • WW: Paper Labels with a Water Wash-Off Adhesive
  • GREM: Paper Labels with a Glass REMovable Adhesive
  • GWPQ: Gloss White Photo Quality Paper Labels with a Standard Permanent Adhesive
  • MPQ: Matt Premium Quality Paper Labels with a Standard Permanent Adhesive
  • OPQ: Paper Labels with an OPaQue Adhesive
  • MWPO: Matt White PolyOlefin Labels with a Marine Adhesive
  • SVP: Silver Void Polyester Labels with a Void Adhesive
  • CRD: Crimson ReD Labels with a Standard Permanent Adhesive
  • REMCRD: Crimson ReD Labels with a Standard REMovable Adhesive
  • LG: Laser Gold Paper Labels with a Standard Permanent Adhesive
  • BRK: Brown Ribbed Kraft Labels with a Standard Permanent Adhesive

Make A Big Splash With Splashproof Labels From Label Planet

Today, we’re taking a closer look at our SPLASHPROOF LABELS (Semi-Gloss Labels & Gloss Laser Labels) to find out why they’re the perfect choice when you need self adhesive labels that can put up with a splish (or a splash) of water.

What are SPLASHPROOF labels?

Splashproof labels are paper labels with a special coating that provides light protection against a small splash of water. This means that if these white labels are lightly splashed with water, they can be wiped clean and dry without the labels being damaged.

They are NOT waterproof labels; where waterproof labels can be exposed to and/or submerged in water without being damaged, splashproof labels are still – essentially – paper labels that will be damaged by exposure to/submersion in water.

How does the coating protect splashproof labels from water damage?

A self-adhesive label has two main layers (the face material and the adhesive) that are carried on a backing sheet; many adhesive labels have additional layers (such as a coating) to add particular characteristics to blank labels. For example, coatings are used to create specific finishes (e.g. gloss labels, matt labels, semi-gloss labels, satin labels, silk labels etc) or to add a protective layer over the face material and adhesive. This is how the coating on splashproof labels works; it sits on top of the paper labels so that water (or dust or dirt etc) lands on the coating and NOT on the paper face material. The water can then be wiped away without damaging the paper labels.

The reason that splashproof labels are NOT waterproof labels is that this coating is a very thin layer and does not provide a full seal all the way around the paper label beneath; if a splashproof label is exposed to or submerged in a lot of water, the water will break through the protective coating to the paper face material underneath.

So why would I use splashproof labels instead of waterproof labels?

Generally speaking, the deciding factor between the two is usually budget; waterproof labels are made with synthetic plastics (polyester, polyolefin, polyethylene etc), which makes them more expensive than paper labels.

Most of our customers who choose splashproof labels are printing product labels and either don’t have the budget for waterproof labels or want a budget-friendly alternative that won’t eat into their profit margin. If you know that your products MIGHT be exposed to a light splash of water every now and then, splashproof labels might offer enough basic protection so that you don’t need to pay extra for a completely waterproof label solution.

Why do you only supply splashproof laser labels?

Both our splashproof gloss labels and semi-gloss labels are LASER LABELS (i.e. they must be printed using a laser printer). They are made with materials that are well-suited to the laser printing process (a dry printing process that uses heat and pressure to bond a dry powder called toner onto surfaces), which produces waterproof print. This means both the splashproof labels AND the print that is added to them will survive a splash of water.

While it is possible to make waterproof or splashproof inkjet LABELS, inkjet INKS are NOT waterproof; they are water-based and will run or smudge under even the lightest splash of water.

What sorts of label applications are suitable for splashproof labels?

Splashproof labels are excellent product labels – especially on products that are to be used and/or stored in places where they might get splashed (e.g. kitchens and bathrooms) or on containers that will contain liquids (e.g. food labels, drink labels, bottle labels, jar labels, and cosmetics labels).

In addition to creating a protective layer, the coatings on these paper labels produce an attractive and decorative surface, with the choice of a bright “full gloss” finish (for a dazzling, eye-catching labels) or a more demure “semi-gloss” finish (for a subtle touch of shine).

What splashproof labels are available from Label Planet?

We have TWO types of splashproof labels:

  • GW: gloss paper labels for laser printers; these white labels have a permanent adhesive and are made with paper that has a gloss coating, which gives them a bright and shiny finish.
  • SG: semi-gloss labels for laser printers; these white paper labels have a permanent adhesive and a semi-gloss finish (this falls between the bright shine of a gloss finish and the dull surface of a matt finish).

Picking The Perfect Printer Can Help Perfect Your Print & Produce Perfectly Printed Self Adhesive Labels

DID YOU KNOW? The printer you use can heavily influence the print quality and accuracy of alignment created when printing self adhesive labels.

PRINTERS, PRINTER LABELS, & PRINT QUALITY
Print quality on self adhesive labels is determined by three key factors:

1. Label & Printer Compatibility
Some A4 labels are suitable for ONE printing method; they are called INKJET LABELS and LASER LABELS and are made with materials that are extremely well-suited to a particular printing method.

For example, laser printing uses heat and pressure to bond toner onto a surface and so laser labels are made with materials that cope well with high temperatures (e.g. paper with high moisture content). Inkjet printing relies on inks drying quickly in the correct position and so inkjet labels are made with slightly absorbent materials (e.g. porous papers) to reducing the risk of smudging.

2. Printer Resolution
Printer resolution is expressed as “dots per inch” – the number of “dots” of ink or toner that a printer can produce within an inch. More dots allow more detail to be added, which means that a higher printer resolution produces better print quality – up to a point.

A DPI of 300 x 300 is “Normal/Good Resolution” (for general documents), a DPI of 600 x 600 is “High Resolution” (for documents with some images or design features), and a DPI of 1200 x 1200 is “Photo Resolution” (for reproducing digital photographs).

Some printers offer higher printer resolutions but there is little benefit as the human eye struggles to discern the difference in quality after this point.

Your printer’s manual will list its maximum printer resolution; many printers will give you a choice of printer resolutions when printing so you can choose a less intensive resolution for everyday printing tasks and a higher resolution when you need more detail.

3. Print Settings
Most desktop printers offer specific print settings that adjust how your printer works in order to produce the best possible print quality on different print media, including self adhesive labels – which are thicker and made with a variety of different materials or coatings. These settings tend to fall into the following three categories:

  • Type: this refers broadly to the print medium that you are using (e.g. Plain Paper, Recycled Paper, Gloss Paper, Photo Paper, Card, Labels, Envelopes etc).
  • Weight: this refers to the weight of the print medium, which is expressed as grammage – the mass per unit area (g/m²). Options are usually a general description followed by a range of weights (e.g “Light (60-64 gsm)” or “Heavy (105-120 gsm)”).
  • Quality: this refers to the printer resolution (i.e. the level of detail) that is used to print your label template. This setting will usually allow you to choose a printer resolution AND the speed at which your printer runs (higher printer resolutions require a slower print speed).

While “dedicated” desktop printers should be able to print most media types and weights, “all-in-one” printers and application printers (e.g. “photo printers”) are limited in the print media they can process; this is because they are not designed for the specific task of printing self adhesive labels, which means they are not built with the features and specifications that would allow them to do so. Your printer’s manual will list all of the types and weights that it can print successfully.

Some printers will also have advanced features to further refine the print quality on your laser labels or inkjet labels. You can consult the printer manual and/or support section of the manufacturer’s website to see what options are available and if there are any recommended guidelines you need to follow. 

PRINTERS, PRINTER LABELS, & PRINT ACCURACY
Some printers have features that improve how accurately your label template is aligned with your sheet labels when you press print:

  • Media Bypass Tray: usually located just above or below the standard paper tray, this tray is designed specifically for handling thicker materials and offers a straighter path through the printer (“bypassing” at least one set of rollers) – this reduces the risk of your sheet labels rotating as they are fed through the printer.
  • Narrow Edge Feed: some printers allow you to feed sheet labels into your printer narrow edge leading (the 210mm edge goes in first) or wide edge leading (the 297mm edge goes in first). You should ALWAYS use narrow edge feed to print self adhesive labels because they have layouts designed to reduce the chances of labels separating from their backing sheet. Paper labels also have a grain that runs the length of each sheet; they must be fed narrow edge leading to ensure that they travel through the printer in a direction that is parallel with the grain to ensure they feed smoothly and with less chance of rotation.
  • Starting Print Position: all printers have a slightly difference starting print position, which can determine whether or not your label template aligns with your sheet labels. Some printers allow you to adjust this starting print position (usually through the menu panel that is physically part of the printer) but it is often much simpler to adjust the page margins of your label template.
  • Printable Area: most desktop printers cannot print the full area of an A4 sheet; if your labels fall into the “unprintable area” of your particular printer, you will have to adjust your label template (so your design doesn’t use this area) OR source a printer that offers “Edge-To-Edge” or “Borderless” printing (allowing your printer to print the full surface area of A4 labels).

While we don’t recommend specific printer models because customers need to choose one that suits their overall printing needs, we do recommend two brands: OKI and HP. Both supply dedicated printers that are extremely capable of processing self-adhesive labels and produce high quality and accurate print. Look through printer specifications to make sure that your printer offers a high printer resolution, is capable of processing labels, has a media bypass tray, and has a duty cycle higher than your expected requirements (this is the number of sheets a printer can print to a consistent standard within a given time frame – usually a month).

You should also read your printer’s manual to check a) that it has the necessary specification to process labels successfully and b) whether the manufacturer has provided specific guidelines and recommendations for printing self adhesive labels using a particular model – which you should then, obviously, follow.

FAQ – How Do I Create (Christmas) Address Labels In Word?

With only a month and a bit to go until Christmas, plenty of people will be turning their thoughts towards creating seasonal address labels to add a festive touch to their mail, from individuals who want to make Christmas labels for sending cards and gifts to family and friends to businesses who want the perfect finishing touch for their Christmas correspondence and seasonal packaging.

Address labels are a really easy way to add a festive flavour to anything that you need to send in the post at this time of year and the easiest way to print Christmas address labels (especially if you have a LOT of people on your “nice” list) is to use Word’s “Mail Merge” tool; this allows you to combine a single document (your label template) with a data source (e.g. a spreadsheet of addresses) to create a personalised address label for every person on your list.

The quickest (and easiest) way to complete a mail merge is to use the Mail Merge Wizard, which guides you through the six steps of a mail merge (and lets you go back and forth if you need to correct a mistake).

Label Planet’s Quickfire Guide To Using The Mail Merge Wizard

  1. Find a compatible Avery code OR download a label template OR note the measurements for your label size.
    The Wizard works best if you use a built-in Avery template; visit the template information page of your Label Planet labels to see if there is an Avery code you can use (click on the “Templates & Printing Information” link on the product page or start from our “Label Templates” home page). If your labels DON’T have a compatible Avery code, download and save a Word template from the template information page OR make a note of the measurements for your label size to create your own label template.
  1. Start the Mail Merge Wizard!
    Open Word and create a blank document. Click on the “Mailings” tab at the top of the page, select “Start Mail Merge”, and click on “Step-By-Step-Mail-Merge-Wizard”.
  1. SELECT DOCUMENT TYPE – tell Word that you want to create a set of address labels.
    In the Mail Merge panel on the right-hand side, click on “Labels” and then “Next”.
  1. SELECT STARTING DOCUMENT – select the label template you want to use for your address labels.
    If you are using a built-in Avery template: click on “Change document layout” and “Label options”; set “Avery A4/A5” as the label vendor, locate your code in the list, and select OK.
    If you are making your own label template: in the “Label options” box, click on “New Label”, and enter the measurements for your label size.
    If you are using a Label Planet template: click on “Start from existing document” and then “Open” to locate your saved label template. Delete the “LP…” text to start with a blank label template.
  1. SELECT RECIPIENTS – select the data source you want to use to personalise your address labels.
    You can enter your list manually at this point but it’s much easier to use a list that you’ve already saved. Click on “Use an existing list” and then “Browse” to locate your list; this can be an Excel spreadsheet, an Access database, an Office address list, your Outlook contact list, a Word data file, or a text file – most people use an Excel spreadsheet so we’ll talk you through the process using this type of data source.
    You will now be presented with two boxes; the first asks you to select the sheet in your spreadsheet that contains your addresses and to indicate if the top row contains column headings (e.g. Name, Address Line 1, Postcode etc). The second box asks you to indicate which addresses in your spreadsheet you want to use; by default, they are all selected but you can filter out a specific group, remove individual addresses, or check for duplicate addresses.
    If you are using a built-in Avery template or a label template you have made, a placeholder («Next Record») will appear in all of the labels in your label template except for the first one.
    If you downloaded a template you will need to enter this rule manually; click on the “Rules” button in the “Mailings” tab and select “Next Record” from the dropdown list. You can repeat this process for each label OR you can copy this first rule and paste it into the remaining labels (ideal if you have a LOT of labels on each sheet). It’s best to do this during the next step so that you don’t accidentally delete these rules while you add your design.
  1. ARRANGE YOUR LABELS – add your seasonal design to your address labels!
    To create a set of address labels with the SAME design, add your design to the top left label and use the “Update All Labels” button to copy it into the rest of your labels.
    NB: this option is NOT available if you are using a label template downloaded from an external source – you will need to use copy and paste to fill in your label template as usual.
    When creating address labels, you can use the “Address Block” tool to create a single placeholder for your addresses OR you can add individual placeholders for each of the fields in your database (a “field” is one of the columns in your spreadsheet – e.g. the “Name” field is the column that contains the name of each recipient):
    ADDRESS BLOCK: click on the “Address block” button and choose the format you want to use. If information from a particular column DOESN’T appear in the preview window you can use the “Match Field” button to tell Word to use that particular column for a specific section of each address.
    For example, Word refers to the first line of an address as “Address 1”; if your spreadsheet uses a different column heading, Word may not connect your column with that part of the address block – i.e. it won’t know where to get that bit of information from and so will leave it out of each address.
    INDIVIDUAL PLACEHOLDERS: click on the “More items” option to add a placeholder for a particular field (column).
    NB: the Next Record rule MUST come BEFORE the first placeholder in each label; this rule tells Word to move onto the next row in your spreadsheet and if it is in the wrong place you will end up with duplicate address labels or mismatched information. It is also important to note that you cannot put rules into a text box, which means that you cannot put placeholders into a text box either – they must be in the main body of the label template to allow Word to execute the Next Record rule when it completes your finished mail merge.
  1. PREVIEW YOUR LABELS – take a peek at what your address labels will look like after you complete the mail merge.
    The preview completes the mail merge for the first page of your address labels, giving you the chance to check that your addresses fit neatly into your label design (and to go back and make adjustments if they don’t). We STRONGLY recommend using the “Preview another label” and/or “Find a recipient” options to check through a selection of your addresses – especially if you know that one address is particularly long (and so might not fit even though the other, shorter, addresses do fit).
  1. COMPLETE THE MERGE – merge your label template and your data source together.
    This brings together your Christmas label template and your list of addresses to create one personalised address label for each of the recipients on your list. You can now choose to make minor adjustments to individual labels (using the “Edit individual labels” tool), to save your merged label template, or to print your address labels…
  1. Test Print Your Merged Label Template
    While you might be tempted to print all of your Christmas address labels at once, we recommend doing a TEST PRINT first; click on “Print” and then select the “From…To” option (enter a range that is smaller than the number of labels on your label sheets) OR set the “Page range” option to “Pages: 1”. This will allow you to check that your label template aligns correctly with your label sheets BEFORE you print all of your address labels at once.
  1. Print Your Address Labels
    Once you are happy that your label template will produce the correct alignment, you can print your finished set of address labels. As a final tip, we would recommend keeping an eye on your labels as they print out – just in case there are any “surprises” in some of the later addresses in your spreadsheet!
