There are all sorts of ways that sticky labels can help you to get organised at Christmas, including address labels and gift tags for all your Christmas presents and post. To help you keep the chaos of Christmas under wraps, here are Label Planet’s top tips to get your seasonal sticky labels in shape.

Use Coloured Labels For Instant Decoration And Use Transparent Labels For Decorative Packaging

Before you start thinking about incredibly complex designs, why not consider a simpler way to make your Christmas labels merry and bright – by using coloured labels to create an instant decorative background for your designs.

We supply a variety of coloured labels, from seven subtle pastels to five fierce fluorescents, by way of two luxurious metallics (gold and silver – perfectly suited to the season), and a ribbed brown Kraft paper, which instantly adds a natural colouring along with a touch of pattern and texture.

If, on the other hand, you’re sticking Christmas labels onto decorative packaging (for example, product labels on gift items or address labels on decorative envelopes), you may want to avoid covering up your festive designs. In this case, try using transparent labels. These allow you to add your text and/or designs without covering up the designs beneath.

Personalise Your Sticky Labels But Keep Your Design Simple

Sticky labels are a brilliant (and quick) way to personalise all kinds of items. There are so many ways to create festive designs, including festive fonts, images, photographs, borders, and backgrounds. But remember, it’s best to keep things simple.

Using every single possible design element just because you can is never a good idea. You’ll end up with a messy, cluttered design, which might prevent your sticky labels from actually doing their job (for example, displaying delivery information on address labels or product information on product labels). Instead, a clean, simple design is best – and it’ll be much quicker to design and print.

Make sure you keep your design to within the capabilities of your software AND your own design experience. That way, you’ll be able to design and print a label template in no time at all – leaving you free to get on with other Christmas preparations.

Many people decide to print their own address labels because it’s a brilliant and quick way to create a decorative and professional-looking set of labels that are truly unique.

A mail merge combines a template with an address list to create one address label for each recipient. All you have to do is add your design, connect your address list, and the mail merge does the work for you.

Keep Your Design In Shape To Make It Simple To Design & Print Your Own Christmas Labels

When creating Christmas designs, it’s easy to go overboard and make things overly complicated. Customers often choose more unusual designs and label shapes – round labels and oval labels are popular choices for seasonal stickers.  These factors can make it harder to design and print your Christmas labels accurately.

Most difficulties, however, can be avoided by a) keeping things simple and b) following these top tips:

  • Centralise your design so it expands from the centre of each label. This helps improve the accuracy of alignment when you print your template.
  • Take care with backgrounds and borders; if your design reaches the edges of your sticky labels, any misalignment becomes much more obvious. Most printers have limited accuracy (within a few millimetres), which makes it difficult to align every design perfectly. This often results in white edging; when a design doesn’t quite line up, portions of a label edge may be left unprinted.If there are gaps all the way around your labels you can oversize your background and/or border. This allows your design to bleed over (overlap) the edges of your labels. We supply Bleed Label Templates, where possible, which show the bleed area available around each label.

    If you don’t have gaps to use as a bleed area, you can only oversize monochrome backgrounds and/or borders. Any inconsistency in colour will clearly indicate that your design has bled over onto an adjacent label.

    The alternative is to amend your design; removing or restricting your background and/or border so it doesn’t reach the edges of your sticky labels.

  • Add your design to the top left label and use copy and paste to complete your label template. This is much faster AND more accurate – because every design is the same.

Yup, it’s Label Planet’s annual Christmas mail merge post; whether you’re a pro or a beginner, here’s how to use a mail merge to print a perfect set of Christmas address labels.

Christmas Address Labels – The Items You Need To Get Started

To perform a Mail Merge you will need:

  • A4 sheets of sticky labels.
  • A saved label template, compatible Avery template code, or layout and measurement information.
  • A saved list of addresses.

A compatible Avery template is one that has the same label size and layout as your A4 labels. If a label size has any compatible Avery codes, we will list them on the relevant product pages, product packaging, and template information pages.

Using a built-in template is simplest; if you can’t find a compatible code because Avery don’t supply your label size, you will need to save a suitable template to your device OR have detailed layout and measurement information for your label size to hand. We supply label templates AND measurements for all of our label sizes; visit our Label Templates home page and select your label shape and label size.

Your list of addresses should be saved in an Excel Spreadsheet, Outlook Contact List, Office Address List, Word Data File, Access Database, or Text File.

Christmas Address Labels – The Mail Merge Process

We recommend using the Mail Merge Wizard. Select the Mailing tab, click on Start Mail Merge, and select Step By Step Mail Merge Wizard. This opens a Mail Merge Panel on the right hand side of your screen, which guides you through these SIX STEPS:

ONE: Select Document Type – select labels.

TWO: Select Starting Document – select your template.

You have three options: select “Change Document Layout” and “Label Options” to use a built in Avery template (set Label Vendor to Avery A4/A5 and select your code) OR create your own label template (click on New Label and fill in the measurements). Alternatively, select “Start From Existing Document” to open a saved label template.

THREE: Select Recipients – select your list of addresses.

This adds the Next Record rule placeholder to all of your blank labels (except the first one). If you are using a saved label template, you must add these placeholders yourself using the “Rules” tool in the Mailings tab. 

FOUR: Arrange Your Labels – add your design (including placeholders for information from your address list).

You can add placeholders individually (use the “More items” option) or use preformatted options, such as Address Block. Add your design (and placeholders) in the first label before using the “Update all labels” button to complete your template. This button is not available if you are using a saved template so you will need to copy and paste your design into the remaining labels.

FIVE: Preview Your Labels – check that your information and design fit together on each label.

SIX: Complete The Merge – finish the merge and print your address labels.

ALWAYS TEST PRINT ONE SHEET FIRST BEFORE PRINTING YOUR WHOLE LIST OF ADDRESSES.

You must use the media bypass tray (if your printer has one) and check your printer is using the correct settings.

Christmas Address Labels – Top Tips

For a chaos-free Christmas mail merge, we recommend following these top tips:

  • Use a built-in label template or create a label template if you can because this allows you to take advantage of several automated tools that are not available if you use a saved copy of a label template.
  • Keep your design simple and try to avoid elements that will complicate the printing process (such as multicoloured backgrounds and/or coloured borders around the edges of each label).
  • Remember that your address information will take up a lot more space on your address labels that the placeholders used to represent them.
  • Remember that some addresses are longer than others; make a note of the longest address in your list and make sure that you check how this address appears when you preview your address labels in step five.
  • MOST IMPORTANTLY TEST PRINT THE FIRST SHEET BEFORE PRINTING ALL YOUR ADDRESS LABELS.

Use the “From” option under Print to select enough addresses to fill one sheet of blank labels.

Christmas Address Labels – Troubleshooting Tips

If things start to go wrong, try these troubleshooting tips to avoid a label template nightmare before Christmas:

  • Can’t Find Your Avery Code: “Printer information” must be set to Page printers and “Label Vendor” to Avery A4/A5. If your Avery code is a Zweckform code, set Vendor to Avery Zweckform. If your code isn’t listed, it may refer to a discontinued product. Check for an alternative compatible Avery code.
  • Two (Or More) Labels Show The SAME Address Information: the Next Record rule must be in EVERY label EXCEPT the first one. It must come BEFORE any other placeholder in your design. Remember, if you use a saved template you need to add this rule yourself.
  • Address Block Doesn’t Show Full Addresses: Word might not have matched sections from your address list to the address block properly. The Match Fields tool allows you to indicate where each part of the address block is stored in your address list.
  • Some Addresses Don’t Fit: some addresses are longer than others. You can either adjust your deign to accommodate the longest address in your list OR edit the longer addresses to make them fit.
  • Your Address Labels Are Misaligned: there are TWO common patterns of misalignment, which you can fix as follows:

Misaligned in the SAME direction by the SAME amount: adjust the page margins of your template to correct the alignment. Click on the Layout tab, select Margins, and choose “Custom Margins”. Increase/decrease the top page margin to move your designs down/up and increase/decrease the left page margin to move them right/left.

Misalignment gets worse down/across/out from the centre: usually caused by printer settings. Check that the page size is A4, no scaling options are applied (i.e. less than 100% or “Fit to…” options), and that no options such as “Ignore Printer Settings” or “Use Default/Driver Settings” are applied. Run your device’s main software update tool to check you have the latest printer driver installed. You should also use your printer’s media bypass tray (if it has one).

If this doesn’t help, there may be a problem with your template; check that the size and layout measurements are correct.

You should order Christmas address labels early because you need to leave enough time for:

  • Despatch and delivery of your order.
  • Designing and printing your address labels.
  • Sticking your address labels onto your post.
  • Posting items for delivery before Christmas.

Stocked items (those with a minimum order quantity of 25 sheets) are available for same day despatch from stock in packs of 25 sheets. Quantities of 500+ sheets of stocked items are made to order, although some paper items are stocked for same day despatch. Items with a minimum order quantity of 500 sheets are unstocked and made to order. Despatch is likely to take five working days because of the increasing demand for Christmas labels.

Label Planet Answers Frequently Asked Questions About … Avery Labels

For many, the name “Avery” is synonymous with self adhesive labels. So we’ve put together a list of answers to the most FAQs we get about Avery labels.

Do You Supply Avery Labels?

No – we do not sell any Avery products.

Our self adhesive labels are produced independently in the UK using high quality materials and manufacturing processes. However, some of our products are “Avery compatible”.

What Do You Mean By Compatible With Avery Labels?

When we say our products are compatible with Avery labels, we mean that they use the same label size and layout (although the materials we use to make our labels will differ from those used by Avery).

This means that you can use an Avery template to print labels you have bought from us; you could even use a Label Planet template to print labels you have bought from Avery.

Some Avery labels use a very similar size and/or layout to our products, where the difference is 1mm or less; in these cases, we list the relevant Avery code along with the ^ symbol to indicate that there is a VERY slight difference between our labels and those of Avery.

How Do I Know If Your Labels Are Compatible With Avery Labels?

If one of our products is compatible with Avery labels, we list the relevant Avery codes on the product page, template information page, and product packaging * for that label size.

* Stocked items sold in 25 sheet packs only. Bulk and made to order items are despatched from our warehouse using different packaging.

Our product pages and packaging show only the most common Avery code. The template information pages show ALL current Avery codes that are compatible with our products.

Why Do Some Of Your Labels Have More Than One Compatible Avery Code?

Some of our Avery compatible products have more than one compatible Avery code. This is because of the way Avery creates product (and template) codes.

Label Planet and Avery supply a range of label sizes, many of which are available in different materials/adhesives. This means you can use one template to print multiple products that share the same label size and layout.

At Label Planet, our product codes have two parts; the first is the size code and the second is the material code. Our templates are named using the relevant size code. We supply one set of templates for each size (not for each product).

For example, our label size 99.1 x 139mm is available in a range of materials. The product code for our standard paper labels in this size is LP4/99. For our gloss paper laser labels in the same size, we use the code LP4/99 GW. The template code for both of these products is LP4/99.

Avery use unique codes for their products – and use the same codes for their templates. This means that they have templates for each product (not each size).

To continue our example, Avery supplies the 99.1 x 139mm label size as two paper products; L7169 is paper labels for laser printers and J8169 is paper labels for inkjet printers. Their gloss paper laser labels in the same size have the product code L7769.

Avery have templates for each of these codes, which means Avery templates L7169, J8169, and L7769 are actually identical.

This also means that our LP4/99 (and LP4/99 GW etc) labels are compatible with Avery codes L7169, J8169, AND L7769.

In fact, we’ve found SIXTEEN compatible Avery codes for our LP4/99 label size – they’re all listed on the LP4/99 template information page.  

Why Can’t I Find An Avery Code In My Software?

Given that Avery labels are such an established part of the labelling industry, software with built-in label templates will often include a set of Avery templates.

If you’ve got an Avery code but you’re struggling to find it in your software, this could be because…

  • You haven’t selected Avery A4/A5 as the label vendor. There may be three sets of Avery templates; Avery A4/A5 (label sizes supplied on A4 or A5 sheets), Avery Zweckform (label sizes supplied on A4 sheets, more commonly used in Europe), and Avery US Letter (label sizes supplied on Letter sheets, used in the US). Each range has its own set of product codes so you won’t be able to find your code if you aren’t looking at the right set of Avery products.
  • You are using an Avery code that has been discontinued by Avery and has therefore been dropped from your software.
  • Your software doesn’t include that particular code in its list of built-in templates. The set of built-in templates available may be revised when software is updated. The most popular and common templates available at the time the software is created or updated is usually included BUT these sets tend to offer a selection of templates rather than every template currently in existence. This can mean that older codes or less popular sizes may be removed or left out of template sets.

It may be worth trying to find another Avery code that uses the same label size and layout. For example, if you are printing Label Planet labels with multiple compatible Avery codes, and the first code you try isn’t available in your software, work through the list of codes to see if another one is available.

Why Can’t I Find An Avery Code For Label Planet Product Code LP…/…?

If we haven’t listed any Avery codes for one of our products, this is because Avery simply don’t supply labels in that particular size. We have, however, created Word and PDF label templates for all of our label sizes for customers to use free of charge. These templates can be downloaded from our Template Home page (select your label shape and size) or by clicking on the “Label Templates and Printing Information” link on the relevant product page.

Things To Think About When Designing & Printing Self Adhesive Labels

There are a lot of different elements involved in printing self adhesive labels – which means there are plenty of ways for things to go wrong. This can make it difficult to work out exactly why things are going wrong (and how to fix it). Our help and advice pages include tips about:

LABEL TEMPLATES

  • Your label template must be compatible with (the same as) your A4 labels.
  • Your label template must be in a file format that your software can read and edit.

DESIGNING LABEL TEMPLATES

  • Your design must align perfectly in ALL of the blank labels on your A4 sheet.
  • Your design must fit the shaping of your blank labels (and you may need to adapt your design to suit).

Quick Tips For Last Minute Address Labels & Gift Tags

If this is the year that you’re going to get truly creative for Christmas – but you’ve left it to the last minute – try our Quick Tips for Last Minute Christmas Labels!

Whether you’re making your own Christmas address labels, Christmas card labels, or Christmas gift tags, it’s really easy to create a set of seasonal address labels and gift tags with that extra special personal touch.

  • Personalise Christmas address labels with photographs, images, a Christmas-themed background, or a festive font!
  • Choose self-adhesive labels with a festive feel to give yourself a ready made seasonal background for your Christmas wishes or addresses.
  • Coloured labels are ideal Christmas labels and we offer pastel coloured labels (for a subtle touch of Christmas colour), fluorescent labels (for adhesive labels that are merry and bright), gold labels and silver labels (for a touch of seasonal shimmer), and brown Kraft labels (for a truly homemade feel).
  • Download label templates from our website; we have Word templates (for Word, Pages, LibreOffice etc) and PDF templates (for Photoshop, Indesign, Illustrator etc).
  • Add your seasonal design to the first label in your label template and then use copy and paste to quickly AND accurately fill in the rest of the blank labels.
    Top tip: in Word, move your cursor to the bottom left corner of the first label and triple click your mouse (left button) to select the content AND the formatting options you have used.
  • Be careful with coloured backgrounds and borders; if your printer and/or label template aren’t quite accurate enough, you may end up with “white edging” where your label template is slightly misaligned with your labels. You can avoid this either by not using a coloured background or border OR by oversizing your background or border so that it overlaps the edges of each label – if possible.
    Top Tip:  centralise so your design so it always starts from the middle of each blank label and extends outwards, which helps to prevent your design getting cut off at the edges of your sheet labels.
  • In Word, use text boxes to control the positioning of text in your Christmas design (and add a festive border) and use the “Wrap Text” option in the “Picture Tools Format” tab to control the positioning of any images (use “Tight” or “In Front Of Text”).
  • Use Word’s built in Mail Merge tool to create personalised address labels. The Mail Merge Wizard (click on the “Mailings” tab, then click on the “Start Mail Merge” button, and select “Step-by-Step Mail Merge Wizard”) will guide you through the SIX steps:
  1. Select Document Type: create a set of address labels.
  2. Select Starting Document: select your label template; Mail Merge works best with a built in Avery template (click “Change document layout” then “Label options”) but you can use a label template you have downloaded (e.g. from the Label Planet website) and saved to your computer (“Start from existing document”) OR use the “New Label” option in the “Label options” box to create your own label template.
    Label templates AND measurements for all of our label sizes can be found on the template information page for each of our products; use the “Templates & Printing Information” link on the product page or navigate from our Template Home Page to find the templates and information you need.
  3. Select Recipients: connect your label template to your list of addresses using the “Use existing list” option. Once you have confirmed that you are happy with the information in your list, a <<Next Record>> rule is added to each blank label in your label template (except the first one).
    If you have downloaded a label template, you need to add this rule manually; click on the “Rules” button in the “Mailings” tab at the top of the page and select “Next Record” from the drop down list.
  4. Arrange Your Labels: add your Christmas label design; if you are using a built in template (or one you have made) you can add your design to the top left label and use the “Update All Labels” button to fill in the rest of your label template.
    Use placeholders to indicate where the information from your list should sit; add individual fields using the “More Items” option or use the “Address Block” to insert your addresses in a single placeholder.
  5. Preview Your Labels: check that your information fits into your design properly (and go back to make amends if it does not).
  6. Complete The Merge: merge your label template with your list of addresses to create one unique address label for each of the recipients on your Christmas list.
  • ALWAYS, ALWAYS, ALWAYS test print your Christmas label template onto paper BEFORE loading your sheet labels proper; this allows you to check that your label template and printer are set up correctly to produce the print quality and alignment that you need to produce perfect Christmas labels.
  • Use the media bypass tray (if your printer has one) and go through your printer’s properties to make sure you are using a Page Size of A4, a Media Type/Weight of Labels (or Heavy Paper), and that no scaling options (e.g. less than 100% or “Fit to Page/Sheet”) are selected.

With only a month and a bit to go until Christmas, plenty of people will be turning their thoughts towards creating seasonal address labels to add a festive touch to their mail, from individuals who want to make Christmas labels for sending cards and gifts to family and friends to businesses who want the perfect finishing touch for their Christmas correspondence and seasonal packaging.

Address labels are a really easy way to add a festive flavour to anything that you need to send in the post at this time of year and the easiest way to print Christmas address labels (especially if you have a LOT of people on your “nice” list) is to use Word’s “Mail Merge” tool; this allows you to combine a single document (your label template) with a data source (e.g. a spreadsheet of addresses) to create a personalised address label for every person on your list.

The quickest (and easiest) way to complete a mail merge is to use the Mail Merge Wizard, which guides you through the six steps of a mail merge (and lets you go back and forth if you need to correct a mistake).

Label Planet’s Quickfire Guide To Using The Mail Merge Wizard

  1. Find a compatible Avery code OR download a label template OR note the measurements for your label size.
    The Wizard works best if you use a built-in Avery template; visit the template information page of your Label Planet labels to see if there is an Avery code you can use (click on the “Templates & Printing Information” link on the product page or start from our “Label Templates” home page). If your labels DON’T have a compatible Avery code, download and save a Word template from the template information page OR make a note of the measurements for your label size to create your own label template.
  1. Start the Mail Merge Wizard!
    Open Word and create a blank document. Click on the “Mailings” tab at the top of the page, select “Start Mail Merge”, and click on “Step-By-Step-Mail-Merge-Wizard”.
  1. SELECT DOCUMENT TYPE – tell Word that you want to create a set of address labels.
    In the Mail Merge panel on the right-hand side, click on “Labels” and then “Next”.
  1. SELECT STARTING DOCUMENT – select the label template you want to use for your address labels.
    If you are using a built-in Avery template: click on “Change document layout” and “Label options”; set “Avery A4/A5” as the label vendor, locate your code in the list, and select OK.
    If you are making your own label template: in the “Label options” box, click on “New Label”, and enter the measurements for your label size.
    If you are using a Label Planet template: click on “Start from existing document” and then “Open” to locate your saved label template. Delete the “LP…” text to start with a blank label template.
  1. SELECT RECIPIENTS – select the data source you want to use to personalise your address labels.
    You can enter your list manually at this point but it’s much easier to use a list that you’ve already saved. Click on “Use an existing list” and then “Browse” to locate your list; this can be an Excel spreadsheet, an Access database, an Office address list, your Outlook contact list, a Word data file, or a text file – most people use an Excel spreadsheet so we’ll talk you through the process using this type of data source.
    You will now be presented with two boxes; the first asks you to select the sheet in your spreadsheet that contains your addresses and to indicate if the top row contains column headings (e.g. Name, Address Line 1, Postcode etc). The second box asks you to indicate which addresses in your spreadsheet you want to use; by default, they are all selected but you can filter out a specific group, remove individual addresses, or check for duplicate addresses.
    If you are using a built-in Avery template or a label template you have made, a placeholder («Next Record») will appear in all of the labels in your label template except for the first one.
    If you downloaded a template you will need to enter this rule manually; click on the “Rules” button in the “Mailings” tab and select “Next Record” from the dropdown list. You can repeat this process for each label OR you can copy this first rule and paste it into the remaining labels (ideal if you have a LOT of labels on each sheet). It’s best to do this during the next step so that you don’t accidentally delete these rules while you add your design.
  1. ARRANGE YOUR LABELS – add your seasonal design to your address labels!
    To create a set of address labels with the SAME design, add your design to the top left label and use the “Update All Labels” button to copy it into the rest of your labels.
    NB: this option is NOT available if you are using a label template downloaded from an external source – you will need to use copy and paste to fill in your label template as usual.
    When creating address labels, you can use the “Address Block” tool to create a single placeholder for your addresses OR you can add individual placeholders for each of the fields in your database (a “field” is one of the columns in your spreadsheet – e.g. the “Name” field is the column that contains the name of each recipient):
    ADDRESS BLOCK: click on the “Address block” button and choose the format you want to use. If information from a particular column DOESN’T appear in the preview window you can use the “Match Field” button to tell Word to use that particular column for a specific section of each address.
    For example, Word refers to the first line of an address as “Address 1”; if your spreadsheet uses a different column heading, Word may not connect your column with that part of the address block – i.e. it won’t know where to get that bit of information from and so will leave it out of each address.
    INDIVIDUAL PLACEHOLDERS: click on the “More items” option to add a placeholder for a particular field (column).
    NB: the Next Record rule MUST come BEFORE the first placeholder in each label; this rule tells Word to move onto the next row in your spreadsheet and if it is in the wrong place you will end up with duplicate address labels or mismatched information. It is also important to note that you cannot put rules into a text box, which means that you cannot put placeholders into a text box either – they must be in the main body of the label template to allow Word to execute the Next Record rule when it completes your finished mail merge.
  1. PREVIEW YOUR LABELS – take a peek at what your address labels will look like after you complete the mail merge.
    The preview completes the mail merge for the first page of your address labels, giving you the chance to check that your addresses fit neatly into your label design (and to go back and make adjustments if they don’t). We STRONGLY recommend using the “Preview another label” and/or “Find a recipient” options to check through a selection of your addresses – especially if you know that one address is particularly long (and so might not fit even though the other, shorter, addresses do fit).
  1. COMPLETE THE MERGE – merge your label template and your data source together.
    This brings together your Christmas label template and your list of addresses to create one personalised address label for each of the recipients on your list. You can now choose to make minor adjustments to individual labels (using the “Edit individual labels” tool), to save your merged label template, or to print your address labels…
  1. Test Print Your Merged Label Template
    While you might be tempted to print all of your Christmas address labels at once, we recommend doing a TEST PRINT first; click on “Print” and then select the “From…To” option (enter a range that is smaller than the number of labels on your label sheets) OR set the “Page range” option to “Pages: 1”. This will allow you to check that your label template aligns correctly with your label sheets BEFORE you print all of your address labels at once.
  1. Print Your Address Labels
    Once you are happy that your label template will produce the correct alignment, you can print your finished set of address labels. As a final tip, we would recommend keeping an eye on your labels as they print out – just in case there are any “surprises” in some of the later addresses in your spreadsheet!

Reasons To Use Rectangles & Pointers To Print Them Perfectly!

While you’ll often hear that using a different label shape is a quick and easy way to create a more “decorative” design, there’s a lot to be said for rectangular labels, which have a lot of benefits that you might not have considered.

So, in this post we’ll be championing the humble rectangle and giving you a few pointers to perfect your rectangular label printing!

EASY TO DESIGN

While you might dismiss rectangular labels as too basic, don’t forget that the simplicity of this shape makes it much easier to design than other shapes (especially circles and ovals).

This holds especially true if you aren’t using design software to create your labels; for example, many people use Microsoft Word, which was created specifically for inserting and editing text (NOT for designing labels). Word templates are basically tables that replicate the layout of a sheet of labels, which is fine if your labels are square or rectangular in shape but less so if you have a more complicated shape (such as those pesky circles and ovals).

With the clearly defined and straightforward edges of a rectangle, you simply need to make sure your design fits inside the four sides of your labels – and you don’t need to spend time thinking about how you’ll get your design to fit inside a curved or fluctuating shape.

EASY TO PRINT

The regularity and simplicity of the rectangular shape also makes it easier to print your labels accurately. Sheets of rectangular labels are made by simply dividing a sheet into equal shapes (with perhaps some spacing between and around the labels), making it is much easier to print your design accurately across each row and column of labels.
In fact, the only time rectangles tend to cause printing problems is when your labels fall inside the “unprintable area” of your printer; standard desktop printers cannot print all the way to the edge of an A4 sheet and the area that they cannot print is called the “unprintable area”. If your labels fall into this area then you may need to choose a different label size OR adapt your design so that it doesn’t occupy this area on your label sheets. This tends to happen more often with square cut corner rectangles that tend to go all the way to the edges of a sheet (although some label layouts use “selvedges” or blank strips at the edges of the sheet to avoid this problem).

MORE CHOICE & BETTER AVAILABILITY

As a basic shape, rectangular labels are available in a lot more sizes AND material options than other shapes because they are popular with both manufacturers AND customers.

Manufacturers like rectangular labels because they produce less waste than other shapes (making them more cost effective) and because they are extremely versatile labels that can be used for hundreds and thousands of different applications – making them a popularly requested size. This means that manufacturers tend to view rectangular labels as “standard sizes”, which they therefore produce in large volumes, on a frequent basis, and in a range of material options.

This means that customers get a better choice of label materials AND rectangular labels are often available at better prices than other shapes.

For example, if you really want round labels in a particular size and a particular material, you may find that you can’t buy those labels as a standard product, which means you either have to pay extra to have them made for you (usually at a higher order quantity and price than you’d like) or you have to compromise by choosing a different size or material.

If you choose a rectangular size, however, it is more than likely that you’ll be able to find that size in a range of materials as a stocked item (with a lower minimum order quantity and price).

It’s also more likely that it will be a size offered by Avery, which means that there may be a compatible template already available in the software you want to use to design your labels.

Plus rectangular labels can be printed in a portrait orientation OR a landscape orientation, giving you twice as many label sizes to choose from!

Of course, there are some questions that crop up more often than others, so here’s a quickfire list of the answers to your most frequently asked questions:

Questions About: Designing & Printing Labels

  1. Do you print labels for customers?
    No; we supply blank labels for customers to print themselves (or to have printed by a local printers).
  1. How do I print labels?
    You create your label design in a template, which is a file that shows the layout of the labels on an A4 sheet. We supply Word templates and PDF templates for all of our label sizes (found in our Template Section here), although you can also create your own label template or use a compatible built in Avery template (where available). Add your design to the top left label and then use copy and paste to fill in the rest. Test print your template onto blank paper to confirm if the alignment is correct (and make amendments if it is not). Load your labels into the media bypass tray (if your printer has one) and check your printer’s properties to ensure the page size is set to A4 and to select the “Labels” or “Heavy Paper” print setting.
  1. How do I get the labels to line up properly?
    If your print is too high/low/left/right (by the same amount), increase or decrease the top and left page margins to correct the misalignment. If the alignment gets progressively worse as you go down or across the page, check that your printer is set to an A4 page size and that no scaling options (e.g. Fit To Page) are selected. You should also check that your template is still the correct size in case it has altered as you have added your content.
  1. Will my printer / photocopier print labels?
    Check your printer’s manual to see if it can process labels and if there are any settings and features you can use to improve the print quality and accuracy. You must also make sure you print laser labels with a laser printer and inkjet labels with an inkjet printer – the printer compatibility of all our label materials is listed on our range pages, product pages, and product packaging.
    While we don’t recommend specific models, we do recommend OKI & HP printers (which handle different materials and high volumes very well), dedicated printers rather than “All-In-One” printers (the latter do several tasks to an okay standard, which means they often struggle to print labels effectively – if at all), and choosing a printer with a duty cycle that exceeds your actual usage (i.e. that can print more sheets to a consistent quality within a month than you actually need).
  1. Why can’t I see the outlines of the labels in my template?
    To view the outlines of a Word template you must have Table Gridlines turned on; to turn them on left click once in the centre of your template, select the Table Tools “Layout” tab at the top of the page, and click “View Gridlines”.
  1. Why can’t I edit my template?
    If you have download a template from our website, it may have been temporarily locked for security reasons; there should be a (yellow) banner going across the top of the page with a button that says “Enable Editing” – click on this button to unlock your template and add your design(s).

Questions About: Delivery

  1. When will my labels arrive?
    Small orders (25-200 sheets): same day despatch via Royal Mail’s first class service (up to 4:30pm, Mon-Fri)
    Medium orders (250-475 sheets); same day despatch via next (working) day carrier service (up to 3pm, Mon-Fri)
    Large orders/made to order items (500+ sheets); despatch via next (working) day carrier service (up to 3pm, Mon-Fri) where stock is available; made to order items are made and despatched within five working days (standard paper products despatch sooner).
    Large orders to Northern Ireland, Republic of Ireland, Islands With UK Postcodes, and some “Extended Postcode” regions are despatched on a 2-3 day carrier service (up to 3pm, Mon-Fri).
    We offer a variety of special delivery options including Royal Mail special deliveries (1pm, 9am, Sat) and timed carrier deliveries (pre-10am, pre-10:30am, pre-noon).
  1. Do I have to pay extra for delivery?
    Standard delivery to UK mainland postcodes is included in the prices on our website. Special delivery options, delivery to the Republic of Ireland, and delivery of large orders to Islands With UK Postcodes or “Extended Postcode” regions have additional shipping charges; you can find out more by contacting our Customer Service Team.
  1. Do you supply labels outside of the UK?
    No; we only supply labels to the UK and Republic of Ireland. Our sister company (Madebuy) sells genuine Label Planet products via Amazon and eBay so you may wish to see if they are able to ship to your required destination.

  1. Do you supply samples?
    We run a free sample request service so you can test a few options to make sure you choose the right label for your application. Simply fill in our online Sample Request form or get in touch with our Customer Service Team.
  1. What label materials do you supply?
    We supply paper labels and “plastic” labels, which are made from polyester, polyethylene, polyolefin, or vinyl. You can find a full list of our label materials on our All Materials page.
  1. What label adhesives do you supply?
    All of our labels are made with “self-adhesive” or “pressure sensitive” adhesives, which means they are all tacky (sticky) at “normal” temperatures and require only the pressure of a finger or hand to apply. We supply a range of adhesive strengths (from extremely strong “super tack” adhesives to extremely light “super removable” adhesives) and a number of “special” adhesives, which have been designed for specific applications (e.g. freezer adhesive, marine adhesive, opaque adhesive, and VOID adhesive).   1. What colours do you supply?
    We supply seven pastel colours (Crimson-Red, Orange-Red, Yellow, Green, Blue, Cream, or Pink), five fluorescent colours (Red, Orange, Lemon (Yellow), Green, or Magenta (Pink)), a metallic gold and silver, and a brown Kraft paper. You can find a full list on our All Colours page; we also supply a silver polyester label and a range of white labels.
  1. What is the difference between “matt” and “gloss”?
    These terms describe the finish of our label materials; matt labels have a dull, non-shiny finish and gloss labels have a bright, shiny finish. We offer a range of gloss labels and matt labels, as well as semi-gloss paper labels, which offer a compromise between the two.
  1. What is the difference between “waterproof” and “splashproof”?
    Our waterproof labels are made of synthetic materials that can be exposed to or immersed in water without sustaining damage. Our “splashproof” labels are paper labels with a gloss or semi-gloss coating that offers a limited degree of protection if they are lightly splashed with water (so they can be wiped clean and dry if they get slightly wet).
  1. Can I request a bespoke label size / label material combination?
    We don’t offer a bespoke label service; however, we do offer over 100 label sizes across a range of over 30 material options so you may find that we have a suitable alternative. Questions About: Label Types

  1. Do you supply labels on rolls?
    No; we specialise in supplying blank labels on A4 sheets for use with laser and inkjet desktop printers.
  1. Do you sell Avery labels?
    No; we do, however, sell a number of compatible label sizes that use the same layout as Avery products, which means you can use an existing Avery template to print onto labels that you have purchased from us. If one of our products is compatible with an Avery size, we will list the relevant Avery codes on the product page, range page, template page, and packaging for that item.
  1. Do you supply waterproof / weatherproof labels?
    Yes! We have a range of waterproof labels suitable for indoor and outdoor use – you can find a full list of options on our Waterproof Labels page. Please note that these labels are for use with laser printers only; laser printers use a dry printing process that produces waterproof print, while inkjet printers tend to use water-based inks that will run or smudge if they get wet (or are simply handled a lot).
  1. Do you supply labels for use in a freezer?
    Yes; our freezer labels are made with a special deep freeze adhesive and can be applied onto products at room temperature or onto frozen products before being stored in conditions ranging from -40°C to +60°C.
    Please note that these are paper labels and so they may wrinkle or crease slightly if they are exposed to condensation. We recommend that you handwrite these labels or use a laser printer; inkjet inks tend to be water-based, which will cause them to run or smudge if they get wet or are handled a lot.
  1. Are your transparent labels COMPLETELY see through?
    Our transparent labels are not “frosted” or “translucent” nor are they “glass clear”; the adhesive layer may trap tiny particles of dust and air during application and this prevents them from being completely transparent – especially on glass. If you need something that IS completely transparent, we recommend “Static Cling” labels, which use static (rather than an adhesive) to hold labels in place.
  1. Do you supply opaque / blockout labels?
    Yes; our opaque labels are made with an opaque adhesive that blocks out any existing print beneath the label. These labels are made to order items, with a minimum order quantity of 500 sheets, and a lead time of up to five working days for despatch.
    As an alternative, you could try layering standard paper labels, choosing a thicker material (e.g. polyester/polyethylene/Kraft paper), or using our metallic paper labels, which also have an opaque finish.
  1. Do you supply security labels / tamperproof labels?
    Yes; our silver VOID labels leave behind the word “VOID” if a label is removed from an item, while our tamper evident vinyl labels fragment into tiny pieces if someone tries to remove them from a labelled item.
  1. Do you supply integrated labels?
    No; integrated labels are sheets where one or more labels are a part of (integrated into) a standard sheet of paper and we do not supply these products.
  1. Do you supply labels on A5/A3/SRA3 (etc) sheets?
    No; all of our labels are supplied on A4 sheets that can be printed using standard desktop printers.
  1. Do you supply coloured labels in a specific pantone reference?
    No; our coloured labels are not made to a specific pantone reference and we do not offer a bespoke service for coloured labels. The colour indicators on our website are for illustration purposes only and are not intended to be an accurate representation; we recommend requesting a sample to see if they are suitable for your requirements.

Questions About: Payments and Refunds

  1. What do your prices include?
    The prices on our website are “all inclusive” and include both VAT and standard UK delivery. The price you see on our website is the price that you will pay at the checkout UNLESS you add an upgraded delivery service to your order.
  1. How does your pricing structure work?
    We use a price break system, which means that larger quantities of labels have a better cost per unit than smaller quantities. Please note that we do not have a separate trade price list, nor do we offer special discounts to trade customers; all of our customers are offered the same price list and the same discounts (when available).
    If you need to order a “shopping list” of different items then we advise getting in touch with us first for a quote as we may be able to pro-rata the price of some or all of the items in your order.
  1. If I find a better price elsewhere will you match that price?
    No, we do not offer any price matching services.
  1. What payment methods are available?
    Ordering Online: pay by credit card/debit card or use a PayPal account.
    Ordering By Phone: pay by credit card/debit card.
    Ordering By Email/Fax/Post: request a Proforma Invoice and pay by credit/debit card, BACS transfer, or cheque.
    Please note that we can send PayPal payment requests if you let us know that you’d prefer to make payment in this way.
  1. Do you accept purchase orders?
    Yes! Email or fax a copy of your purchase order to us and we will issue you with a Proforma Invoice.
  1. Can I open a credit account?
    No; we operate a “payment with order” system and do not offer credit accounts. If you are unable to place an order via our website or over the phone (for example, if you need to place orders via a Finance Department), you can send us a purchase order or order request by email/fax/post (or give us a call) and we will issue you with a Proforma Invoice against which you (or your Finance Department) can make payment.
  1. How do I place an order on behalf of a school?
    You can order via our website or over the phone OR you can send the details of your order to us by email or fax (or post!) and we will process your order and send you a 30-Day School Invoice (Local Education Authority Schools only) for payment. Please note that you need to send your order to us either in the form of an official School Purchase Order OR in a document with the school’s letterhead that has been signed by the individual responsible for payment.
  1. How do I place an order for delivery to the Republic of Ireland?
    You will need to place your order by phone so that we can determine the best shipping option for the specific items you wish to purchase. If you are VAT registered, we will also remove VAT from your order if you have your VAT number to hand when you call.
  1. How do I request a refund?
    Get in touch with our customer service team to request a refund; let us know what item(s) you wish to return and we will issue you with a goods return number. Once we have received your returned goods we will process your refund.
    Please note that we will only issue refunds for products that we can resell or that are faulty. If you have opened your label packs and used some of the sheets, we will only offer you a partial refund based on the labels that you return.
  1. What should I do if I’ve ordered the wrong thing?
    Get in touch with us as soon as possible so that we can amend your order BEFORE it is processed. If your order has already been despatched or delivered, you have TWO options:
    Request replacements: we will issue you with a goods return number and – once we have received the incorrect goods back – we will post out replacements to you.
    Request a refund and place a new order: we will issue you with a goods return number and process a refund for you once we receive the incorrect goods back – while your new order will be processed according to our usual despatch and delivery terms, allowing you to receive the correct items as soon as possible.

Frequently Asked Questions
A brief (ish) list of the questions we get asked most frequently by our customers, including questions about designing and printing labels, about our despatch and delivery service levels, about how to choose the right label for a particular application, about different types of labels, and about placing and making payment for an order of labels from Label Planet (or requesting a refund).

Free Sample Request Service
We know that some of our customers need to make absolutely sure that the labels they buy from us are suitable for the label application they have in mind – and we also know how frustrating it is to buy a product only to find out that it’s either completely unsuitable or simply not what you had in mind – which is why we offer all of our customers the opportunity to request a sample of the label(s) they are interested in so they can “try before they buy”.

Label Material Specification Sheets
These sheets supply more detailed information about our product ranges, including the material and adhesive used to make a product range, the printer compatibility of a particular label, the weight and thickness of each part of the label, and any other key characteristics of that product range.

Label Templates
Our label templates are available through our dedicated Template Section; this section contains a template information page for every label size that we supply and each page lists detailed measurements, compatible Avery codes, and printing advice for that particular size, along with a set of Word templates and PDF templates for customers to use free of charge. All of our templates have been set up and thoroughly tested by us to make sure that they are capable of producing the correct alignment on our label products.

This guide is aimed at customers who want to print window stickers that can be applied onto one side of a glass surface (such as a window) and read correctly from the other side. This page contains tips on how to create a “mirrored” or “reversed” template that will allow you to create window stickers that can be viewed in this manner.

Avery Codes (with compatible Label Planet label sizes)
Some of our label sizes use the same size and layout as Avery labels, which means that you can print our labels using an Avery template that is built into the software you want (or need) to use to print your labels. This page contains a list of all of the Avery codes that have compatible Label Planet codes (along with some basic measurement information and a link to our template information page for that label size).

You can use this page to look up an Avery code that you have access to or have used before to see if we supply a compatible product.

This page can also be used to cross reference between Label Planet codes and Avery codes but where the page above lists Avery codes that are compatible with our products, this page lists Label Planet product codes that have compatible Avery codes (along with basic measurements and a link to the relevant template information page).

You can use this page to look up the Label Planet labels you are interested in to see if they have a compatible Avery code.
