Reasons To Use Rectangles & Pointers To Print Them Perfectly!

While you’ll often hear that using a different label shape is a quick and easy way to create a more “decorative” design, there’s a lot to be said for rectangular labels, which have a lot of benefits that you might not have considered.

So, in this post we’ll be championing the humble rectangle and giving you a few pointers to perfect your rectangular label printing!

EASY TO DESIGN

While you might dismiss rectangular labels as too basic, don’t forget that the simplicity of this shape makes it much easier to design than other shapes (especially circles and ovals).

This holds especially true if you aren’t using design software to create your labels; for example, many people use Microsoft Word, which was created specifically for inserting and editing text (NOT for designing labels). Word templates are basically tables that replicate the layout of a sheet of labels, which is fine if your labels are square or rectangular in shape but less so if you have a more complicated shape (such as those pesky circles and ovals).

With the clearly defined and straightforward edges of a rectangle, you simply need to make sure your design fits inside the four sides of your labels – and you don’t need to spend time thinking about how you’ll get your design to fit inside a curved or fluctuating shape.

EASY TO PRINT

The regularity and simplicity of the rectangular shape also makes it easier to print your labels accurately. Sheets of rectangular labels are made by simply dividing a sheet into equal shapes (with perhaps some spacing between and around the labels), making it is much easier to print your design accurately across each row and column of labels.
In fact, the only time rectangles tend to cause printing problems is when your labels fall inside the “unprintable area” of your printer; standard desktop printers cannot print all the way to the edge of an A4 sheet and the area that they cannot print is called the “unprintable area”. If your labels fall into this area then you may need to choose a different label size OR adapt your design so that it doesn’t occupy this area on your label sheets. This tends to happen more often with square cut corner rectangles that tend to go all the way to the edges of a sheet (although some label layouts use “selvedges” or blank strips at the edges of the sheet to avoid this problem).

MORE CHOICE & BETTER AVAILABILITY

As a basic shape, rectangular labels are available in a lot more sizes AND material options than other shapes because they are popular with both manufacturers AND customers.

Manufacturers like rectangular labels because they produce less waste than other shapes (making them more cost effective) and because they are extremely versatile labels that can be used for hundreds and thousands of different applications – making them a popularly requested size. This means that manufacturers tend to view rectangular labels as “standard sizes”, which they therefore produce in large volumes, on a frequent basis, and in a range of material options.

This means that customers get a better choice of label materials AND rectangular labels are often available at better prices than other shapes.

For example, if you really want round labels in a particular size and a particular material, you may find that you can’t buy those labels as a standard product, which means you either have to pay extra to have them made for you (usually at a higher order quantity and price than you’d like) or you have to compromise by choosing a different size or material.

If you choose a rectangular size, however, it is more than likely that you’ll be able to find that size in a range of materials as a stocked item (with a lower minimum order quantity and price).

It’s also more likely that it will be a size offered by Avery, which means that there may be a compatible template already available in the software you want to use to design your labels.

Plus rectangular labels can be printed in a portrait orientation OR a landscape orientation, giving you twice as many label sizes to choose from!

We supply both portrait and landscape templates for all of our rectangular label sizes so you don’t have to crane your neck as you try to fill a portrait template with a landscape design.

LABEL PLANET’S RANGE OF RECTANGULAR LABELS

At Label Planet, our rectangular labels fall into one of two shape categories; those with rounded corners and those with square cut corners. We have 70 label sizes that are rectangular in shape (39 with round corners and 31 with square corners) – compared to 19 round label sizes, 8 oval label sizes, and 5 square label sizes.

We get a variety of enquiries and queries from our customers – some more surprising and unusual than others – and our customer service team is on hand to help out with any questions (big or small) that you might need answering.

You can contact us during office hours (Monday-Friday, 9am-5pm) via phone or email and you can submit questions to us via our website or by email at any time and we’ll do our best to get back to you with an answer as soon as we can.

Of course, there are some questions that crop up more often than others, so here’s a quickfire list of the answers to your most frequently asked questions:

Questions About: Designing & Printing Labels

  1. Do you print labels for customers?
    No; we supply blank labels for customers to print themselves (or to have printed by a local printers).
  1. How do I print labels?
    You create your label design in a template, which is a file that shows the layout of the labels on an A4 sheet. We supply Word templates and PDF templates for all of our label sizes (found in our Template Section here), although you can also create your own label template or use a compatible built in Avery template (where available). Add your design to the top left label and then use copy and paste to fill in the rest. Test print your template onto blank paper to confirm if the alignment is correct (and make amendments if it is not). Load your labels into the media bypass tray (if your printer has one) and check your printer’s properties to ensure the page size is set to A4 and to select the “Labels” or “Heavy Paper” print setting.
  1. How do I get the labels to line up properly?
    If your print is too high/low/left/right (by the same amount), increase or decrease the top and left page margins to correct the misalignment. If the alignment gets progressively worse as you go down or across the page, check that your printer is set to an A4 page size and that no scaling options (e.g. Fit To Page) are selected. You should also check that your template is still the correct size in case it has altered as you have added your content.
  1. Will my printer / photocopier print labels?
    Check your printer’s manual to see if it can process labels and if there are any settings and features you can use to improve the print quality and accuracy. You must also make sure you print laser labels with a laser printer and inkjet labels with an inkjet printer – the printer compatibility of all our label materials is listed on our range pages, product pages, and product packaging.
    While we don’t recommend specific models, we do recommend OKI & HP printers (which handle different materials and high volumes very well), dedicated printers rather than “All-In-One” printers (the latter do several tasks to an okay standard, which means they often struggle to print labels effectively – if at all), and choosing a printer with a duty cycle that exceeds your actual usage (i.e. that can print more sheets to a consistent quality within a month than you actually need).
  1. Why can’t I see the outlines of the labels in my template?
    To view the outlines of a Word template you must have Table Gridlines turned on; to turn them on left click once in the centre of your template, select the Table Tools “Layout” tab at the top of the page, and click “View Gridlines”.
  1. Why can’t I edit my template?
    If you have download a template from our website, it may have been temporarily locked for security reasons; there should be a (yellow) banner going across the top of the page with a button that says “Enable Editing” – click on this button to unlock your template and add your design(s).

Questions About: Delivery

  1. When will my labels arrive?
    Small orders (25-200 sheets): same day despatch via Royal Mail’s first class service (up to 4:30pm, Mon-Fri)
    Medium orders (250-475 sheets); same day despatch via next (working) day carrier service (up to 3pm, Mon-Fri)
    Large orders/made to order items (500+ sheets); despatch via next (working) day carrier service (up to 3pm, Mon-Fri) where stock is available; made to order items are made and despatched within five working days (standard paper products despatch sooner).
    Large orders to Northern Ireland, Republic of Ireland, Islands With UK Postcodes, and some “Extended Postcode” regions are despatched on a 2-3 day carrier service (up to 3pm, Mon-Fri).
    We offer a variety of special delivery options including Royal Mail special deliveries (1pm, 9am, Sat) and timed carrier deliveries (pre-10am, pre-10:30am, pre-noon).
  1. Do I have to pay extra for delivery?
    Standard delivery to UK mainland postcodes is included in the prices on our website. Special delivery options, delivery to the Republic of Ireland, and delivery of large orders to Islands With UK Postcodes or “Extended Postcode” regions have additional shipping charges; you can find out more by contacting our Customer Service Team.
  1. Do you supply labels outside of the UK?
    No; we only supply labels to the UK and Republic of Ireland. Our sister company (Madebuy) sells genuine Label Planet products via Amazon and eBay so you may wish to see if they are able to ship to your required destination.

Questions About: Choosing The Right Labels

  1. Do you supply samples?
    We run a free sample request service so you can test a few options to make sure you choose the right label for your application. Simply fill in our online Sample Request form or get in touch with our Customer Service Team.
  1. What label materials do you supply?
    We supply paper labels and “plastic” labels, which are made from polyester, polyethylene, polyolefin, or vinyl. You can find a full list of our label materials on our All Materials page.
  1. What label adhesives do you supply?
    All of our labels are made with “self-adhesive” or “pressure sensitive” adhesives, which means they are all tacky (sticky) at “normal” temperatures and require only the pressure of a finger or hand to apply. We supply a range of adhesive strengths (from extremely strong “super tack” adhesives to extremely light “super removable” adhesives) and a number of “special” adhesives, which have been designed for specific applications (e.g. freezer adhesive, marine adhesive, opaque adhesive, and VOID adhesive).   1. What colours do you supply?
    We supply seven pastel colours (Crimson-Red, Orange-Red, Yellow, Green, Blue, Cream, or Pink), five fluorescent colours (Red, Orange, Lemon (Yellow), Green, or Magenta (Pink)), a metallic gold and silver, and a brown Kraft paper. You can find a full list on our All Colours page; we also supply a silver polyester label and a range of white labels.
  1. What is the difference between “matt” and “gloss”?
    These terms describe the finish of our label materials; matt labels have a dull, non-shiny finish and gloss labels have a bright, shiny finish. We offer a range of gloss labels and matt labels, as well as semi-gloss paper labels, which offer a compromise between the two.
  1. What is the difference between “waterproof” and “splashproof”?
    Our waterproof labels are made of synthetic materials that can be exposed to or immersed in water without sustaining damage. Our “splashproof” labels are paper labels with a gloss or semi-gloss coating that offers a limited degree of protection if they are lightly splashed with water (so they can be wiped clean and dry if they get slightly wet).
  1. Can I request a bespoke label size / label material combination?
    We don’t offer a bespoke label service; however, we do offer over 100 label sizes across a range of over 30 material options so you may find that we have a suitable alternative. Questions About: Label Types

  1. Do you supply labels on rolls?
    No; we specialise in supplying blank labels on A4 sheets for use with laser and inkjet desktop printers.
  1. Do you sell Avery labels?
    No; we do, however, sell a number of compatible label sizes that use the same layout as Avery products, which means you can use an existing Avery template to print onto labels that you have purchased from us. If one of our products is compatible with an Avery size, we will list the relevant Avery codes on the product page, range page, template page, and packaging for that item.
  1. Do you supply waterproof / weatherproof labels?
    Yes! We have a range of waterproof labels suitable for indoor and outdoor use – you can find a full list of options on our Waterproof Labels page. Please note that these labels are for use with laser printers only; laser printers use a dry printing process that produces waterproof print, while inkjet printers tend to use water-based inks that will run or smudge if they get wet (or are simply handled a lot).
  1. Do you supply labels for use in a freezer?
    Yes; our freezer labels are made with a special deep freeze adhesive and can be applied onto products at room temperature or onto frozen products before being stored in conditions ranging from -40°C to +60°C.
    Please note that these are paper labels and so they may wrinkle or crease slightly if they are exposed to condensation. We recommend that you handwrite these labels or use a laser printer; inkjet inks tend to be water-based, which will cause them to run or smudge if they get wet or are handled a lot.
  1. Are your transparent labels COMPLETELY see through?
    Our transparent labels are not “frosted” or “translucent” nor are they “glass clear”; the adhesive layer may trap tiny particles of dust and air during application and this prevents them from being completely transparent – especially on glass. If you need something that IS completely transparent, we recommend “Static Cling” labels, which use static (rather than an adhesive) to hold labels in place.
  1. Do you supply opaque / blockout labels?
    Yes; our opaque labels are made with an opaque adhesive that blocks out any existing print beneath the label. These labels are made to order items, with a minimum order quantity of 500 sheets, and a lead time of up to five working days for despatch.
    As an alternative, you could try layering standard paper labels, choosing a thicker material (e.g. polyester/polyethylene/Kraft paper), or using our metallic paper labels, which also have an opaque finish.
  1. Do you supply security labels / tamperproof labels?
    Yes; our silver VOID labels leave behind the word “VOID” if a label is removed from an item, while our tamper evident vinyl labels fragment into tiny pieces if someone tries to remove them from a labelled item.
  1. Do you supply integrated labels?
    No; integrated labels are sheets where one or more labels are a part of (integrated into) a standard sheet of paper and we do not supply these products.
  1. Do you supply labels on A5/A3/SRA3 (etc) sheets?
    No; all of our labels are supplied on A4 sheets that can be printed using standard desktop printers.
  1. Do you supply coloured labels in a specific pantone reference?
    No; our coloured labels are not made to a specific pantone reference and we do not offer a bespoke service for coloured labels. The colour indicators on our website are for illustration purposes only and are not intended to be an accurate representation; we recommend requesting a sample to see if they are suitable for your requirements.

Questions About: Payments and Refunds

  1. What do your prices include?
    The prices on our website are “all inclusive” and include both VAT and standard UK delivery. The price you see on our website is the price that you will pay at the checkout UNLESS you add an upgraded delivery service to your order.
  1. How does your pricing structure work?
    We use a price break system, which means that larger quantities of labels have a better cost per unit than smaller quantities. Please note that we do not have a separate trade price list, nor do we offer special discounts to trade customers; all of our customers are offered the same price list and the same discounts (when available).
    If you need to order a “shopping list” of different items then we advise getting in touch with us first for a quote as we may be able to pro-rata the price of some or all of the items in your order.
  1. If I find a better price elsewhere will you match that price?
    No, we do not offer any price matching services.
  1. What payment methods are available?
    Ordering Online: pay by credit card/debit card or use a PayPal account.
    Ordering By Phone: pay by credit card/debit card.
    Ordering By Email/Fax/Post: request a Proforma Invoice and pay by credit/debit card, BACS transfer, or cheque.
    Please note that we can send PayPal payment requests if you let us know that you’d prefer to make payment in this way.
  1. Do you accept purchase orders?
    Yes! Email or fax a copy of your purchase order to us and we will issue you with a Proforma Invoice.
  1. Can I open a credit account?
    No; we operate a “payment with order” system and do not offer credit accounts. If you are unable to place an order via our website or over the phone (for example, if you need to place orders via a Finance Department), you can send us a purchase order or order request by email/fax/post (or give us a call) and we will issue you with a Proforma Invoice against which you (or your Finance Department) can make payment.
  1. How do I place an order on behalf of a school?
    You can order via our website or over the phone OR you can send the details of your order to us by email or fax (or post!) and we will process your order and send you a 30-Day School Invoice (Local Education Authority Schools only) for payment. Please note that you need to send your order to us either in the form of an official School Purchase Order OR in a document with the school’s letterhead that has been signed by the individual responsible for payment.
  1. How do I place an order for delivery to the Republic of Ireland?
    You will need to place your order by phone so that we can determine the best shipping option for the specific items you wish to purchase. If you are VAT registered, we will also remove VAT from your order if you have your VAT number to hand when you call.
  1. How do I request a refund?
    Get in touch with our customer service team to request a refund; let us know what item(s) you wish to return and we will issue you with a goods return number. Once we have received your returned goods we will process your refund.
    Please note that we will only issue refunds for products that we can resell or that are faulty. If you have opened your label packs and used some of the sheets, we will only offer you a partial refund based on the labels that you return.
  1. What should I do if I’ve ordered the wrong thing?
    Get in touch with us as soon as possible so that we can amend your order BEFORE it is processed. If your order has already been despatched or delivered, you have TWO options:
    Request replacements: we will issue you with a goods return number and – once we have received the incorrect goods back – we will post out replacements to you.
    Request a refund and place a new order: we will issue you with a goods return number and process a refund for you once we receive the incorrect goods back – while your new order will be processed according to our usual despatch and delivery terms, allowing you to receive the correct items as soon as possible.

Free Sample Request Service
We know that some of our customers need to make absolutely sure that the labels they buy from us are suitable for the label application they have in mind – and we also know how frustrating it is to buy a product only to find out that it’s either completely unsuitable or simply not what you had in mind – which is why we offer all of our customers the opportunity to request a sample of the label(s) they are interested in so they can “try before they buy”.

Label Material Specification Sheets

Questions & Queries About Prices & Paying For Labels From Label Planet

This week’s blog post aims to answer some of the most frequent questions and queries that we receive about our prices and the payment methods available to our customers.

How Do I Find Out What Your Prices Are?
All of our current prices are listed on our website; simply visit the product page of the item you are interested in to view the prices available for that product.

Alternatively, you can get in touch with our Customer Service Team; we recommend contacting us first if you have a bit of a “shopping list” of items as we may be able to prorata the price of some (or all) of the items you are interested in to give you a better price.

We are usually able to offer prorata pricing if you require a quantity that is not listed on our site (e.g. 200 sheets) or if you are ordering multiple sizes within a particular product range (e.g. LP4/99 GW and LP8/99 GW).

What Is “All-Inclusive” Pricing?
The prices displayed on our website are “all-inclusive”, which means that the price includes both VAT and standard delivery to the UK. The price you see will be the price you pay UNLESS you opt to upgrade to a special delivery service or you need to request delivery to Ireland.

What Pricing Structure Do You Use?
We use a price break system; each product range has a price list that applies to all of the label sizes within that product range, which features price breaks at each of the quantities shown in the price list. This means you will get a better price per sheet if you order bulk boxes of 500 sheets compared to ordering packs of 25 sheets.

Do You Offer A Price Matching Service?
No. We are not the cheapest supplier of labels (nor are we the most expensive) but we aim to supply our customers with both high quality labels and high quality customer service – and this is reflected in our prices. All of our products are manufactured independently in the UK and we provide a number of support services including samples, labels templates, and help and advice on designing and printing your own self-adhesive labels.

If you find a better price elsewhere it is up to you to decide where you order your labels.

Please note: our sister company (Madebuy) supplies genuine Label Planet products via Amazon and Ebay; while we aim to keep prices consistent between the two companies, there may be some differences and it is up to you to decide if you order from us or Madebuy.

Do You Offer Trade Prices?
No. We offer one price list to all of our customers, although our price break system is designed to help trade customers (who are more likely to buy in bulk than individual customers) by creating a better unit price for larger quantities.

Do You Offer A Discount For … ?
We don’t currently have any discounts or offers available – although, as mentioned above, if you are buying an assortment of items we may be able to prorata some of those items, while repeat customers could take advantage of our price break system to order more labels than they currently need (storing some for future use) to get a better price per unit.

Do I Have To Pay For Samples Or Templates?
No. Our sample service and label templates are both completely free for anyone to use.

Do I Have To Pay For Delivery?
Standard delivery to UK addresses is included in the prices on our website; you will only need to pay extra for delivery if you want to upgrade to a special delivery service OR if you are ordering labels for delivery to Ireland.

We offer a range of special delivery options, including next day delivery options with Royal Mail (pre-1pm, pre-9am, and Sat delivery) and timed carrier services. Small orders (25-200 sheets) can be upgraded to a guaranteed next day service as you checkout online – for all other special delivery options or to upgrade a large order to a timed carrier service, you will need to contact our Customer Service Team by phone.

Delivery to Ireland depends on the specific items and quantities being ordered, which means that we ask customers to order by phone so that we can arrange the correct shipping option for the exact content of your order.

Customers in Ireland who are VAT registered can request a non-VAT quote providing that you have your VAT number to hand when you order.

Where we do charge extra for delivery, we will only ever charge what Royal Mail or our carrier provider charge us – we do not add on our own charges for upgrading your delivery service level.

What Payment Methods Are Available?
You can pay in a number of ways, although the payment methods available will depend on how you place your order:

  • Online Orders: pay by debit/credit card or Paypal.
  • Phone Orders: pay by debit/credit card.
  • Post: pay by cheque.
  • Email/Fax: request a Proforma Invoice against which you can make payment via debit/credit card or BACS transfer.

Please note, we can also send a Paypal payment request if you let us know that you would prefer to pay in this manner.

Can I Open A Credit Account?
No. We operate on a “payment with order” basis and do not offer any credit accounts. As mentioned earlier, if you are unable to pay online or by phone (for example, because you need to submit orders via a Finance Department) you can request a Proforma Invoice.

Please note: if you request a Proforma Invoice, we will not process your order and despatch your labels until we have received payment – and it is up to you to ensure that payment is made.

Our one exception is Local Education Authority schools; we offer a 30 Day Invoice option to schools (at our discretion) – we simply need an official purchase order or the details of your order on the school’s letterhead along with the signature of the individual responsible for making payment and we will despatch your goods along with a School Invoice.

Label Planet’s Guide To Avery Labels

You may have noticed that we describe some of our products as being “Avery Compatible” and list “compatible Avery codes” for customers to use when printing the labels they have bought from us. This blog aims to provide a quickfire guide to what Avery labels are and why we mention them in connection with our products.

  1. We don’t sell Avery labels.
    The first thing to point out is that we DON’T supply Avery labels; none of our products are made or endorsed by the Avery Dennison Group and we have no affiliation whatsoever with the Avery Dennison Group.
  1. We do sell some label sizes that are compatible with Avery label sizes.
    Some of our label sizes are made using the exact same label size and layout as those used by Avery. We call our products “compatible” with those of Avery because they are the same (in terms of the size and layout) – however, the materials used to make our products may differ from those made by Avery.
  1. We supply Avery compatible labels because they are STANDARD label sizes that are suitable for a variety of label applications and they are cost-effective.
    While the name “Avery” has become synonymous with labels, it is important to remember that there is a whole labelling industry apart from Avery who all make their own label sizes and layouts. The reason that many of these companies use the same label sizes and layouts as Avery is that these sizes are the most economical sizes that can be produced on A4 sheets (making them more cost-effective) and they are useful for a range of applications. Standard sizes of labels supplied on A4 sheets have their dimensions determined by the sizes that are naturally created by dividing an A4 sheet into the required number of equal sized rows and columns to create the required number of labels per sheet. When label layouts are created with blank edges around the sheet – known as selvedges – or gaps between the rows and/or columns (to ensure the label sheets can be printed accurately), the spaces are generally kept as small as possible to reduce the amount of waste material that is created on each sheet.
    These sizes are manufactured regularly and in large volumes, which means that they incur lower manufacturing costs than more unusual sizes or bespoke labels that are made as and when they are requested.
    We therefore sell a number of the same label sizes and layouts as Avery (and other manufacturers and suppliers do) because these products are easier to print accurately, are readily available, and allow us to pass on better prices to our customers.
  1. We list compatible Avery codes so that customers can choose to use our label templates or a built-in Avery template to print the labels they have bought from Label Planet.
    Where one of our sizes is compatible with an Avery size you can print our labels using a template you have downloaded from our website OR using an Avery template that is built into the software you want (or need) to use to design and print your labels.We list any compatible Avery codes for our label products on the product packaging, product page, and template information page for that particular item.
  1. We list multiple Avery codes (where applicable) because of the way Avery named their products (and templates).
    Every Avery product has its own unique product code that is also used for the template that can be used to print that product. This creates multiple compatible template codes because Avery supplies many of its label sizes in different materials; each material has its own code BUT the templates used to print these products will be exactly the same because they share the same label size and layout. For example, many of Avery’s label sizes are available as both a paper product for inkjet printers (with a unique Avery code, for example J8654) and as a paper product for laser printers (also with its own unique Avery code, for example L7654) – however, you can print either of these products with either template (J8654 or L7654) because they are exactly the same. You could also use either of these templates to print onto any of our label products that have a code beginning with LP40/45 – which use the same label size and layout as the Avery products.
  1. We do not supply any labels that are compatible with American Avery label sizes.
    Avery supply DIFFERENT product ranges for the UK and US markets; this is because the US uses a page size of American Letter (8.5 inches x 11 inches or 215.9mm x 279.4mm) and label sizes that are measured in inches, while the UK uses a page size of A4 (210mm x 297mm) and label sizes that are measured in millimetres. You may have noticed that when you use built in Avery templates, the label vendor is given as “Avery A4/A5” – with another option for “Avery US Letter”. If you are using software that was developed by (and for) an American company, you will need to find an American label supplier that can ship to the UK. Alternatively, if you are able to shift away from American label sizes, you can convert your label measurements from inches to mm and you should be able to find a suitable UK label size that either matches or is close enough to the dimensions you want to use.
  1. We do not match Avery’s product list.
    We have selected a range of label sizes that we feel offers our customers the best possible choice for a range of label applications but we do not aim to match Avery’s complete product list. This means that there may be some label sizes that Avery supply but that we do not. We do not offer a bespoke label service and the only label sizes we can supply are those listed on our website.
  1. We sell label sizes that Avery do not supply.
    Of course, you may also be aware that Avery’s range of label sizes is smaller than those offered by other label manufacturers and suppliers (including Label Planet). Therefore, you will see that a number of our label products do not have any compatible Avery codes listed along with their product descriptions; this is because Avery simply do not supply labels in this size. We supply label templates (in both Word and PDF formats) for all of our label sizes so you don’t need to rely on a built in Avery template to get your labels designed and printed.

You could also visit our cross-index pages, which list all of the Label Planet label sizes that have compatible Avery codes and all of the Avery label sizes that have compatible Label Planet codes.

FAQ – What Does “Compatible With Avery” Mean?

You may have noticed that a number of our label products are described as being “compatible with Avery labels” or “Avery compatible”. Simply put, this means that the label size and layout of our Label Planet labels is the same as the label size and layout of Avery labels.

This means that you can print Label Planet labels with an Avery template; we include compatible Avery codes for our products (where possible) because we know that some of our customers need to use an existing Avery template to print their labels. For example, if you are printing labels from specialist software for producing barcode labels, shipping labels, or product labels, the only templates built in to your software may be Avery templates – if we have a compatible label size, you will be able to buy labels from us and print them using the existing templates in your software.

While you might be perfectly happy using Avery labels, you may have found that we offer a particular label size in a different material or adhesive option that isn’t provided by Avery, that the materials used by Avery aren’t suitable for your application, that you struggle to source Avery labels in the quantities that you need, or you may simply want the freedom to shop around as you please.

If any of these are true, you can buy labels from Label Planet safe in the knowledge that they are the same as the Avery labels that you have used before/are the same as the Avery template that you want or need to use to print your labels. We also offer a free sample request service so you can try out our labels for yourself and see if they are suitable for the task at hand.

Q) Does It Matter What Sort Of Printer I Use To Print My Labels? A) YES!

You might be surprised at just HOW important it is to use the right printer (and print settings) when you are printing your own labels. Your choice of printer determines a number of factors that can have a big influence on the quality of print that you can achieve when printing labels (that is, if you can print labels at all).

Type Of Printer:
All of our labels are supplied on A4 sheets and are designed specifically for use with standard desktop inkjet printers and laser printers. You may have noticed that all of our label products are marked with a particular printer compatibility – Laser Only, Inkjet Only, or Laser & Inkjet.

This is because the two types of printers use two different printing methods and our labels are generally made with materials that suit one of these print methods. Laser printers use heat and pressure to bond a dry powder called toner into place, which means that laser labels are made using materials that have a smooth, consistent surface and that are heat resistant (paper laser labels, for example, will have a much higher moisture content than standard sheets of paper). Inkjet printers, however, will disperse inks (usually water-based) onto a surface where they will dry in place to form the final printed image or design. Inkjet labels, therefore, may have a slightly porous surface to absorb some of the ink and allow it to dry in place much more accurately.

If you try to print laser labels with an inkjet printer or inkjet labels with a laser printer, the best you can hope for is extremely low quality print – at worst you could damage your labels and your printer so you MUST make sure that the labels you buy are compatible with your printer.

You may also find that certain label products are only available for ONE type of printer. For example, all of our Waterproof Labels are laser labels – this is because laser printers create waterproof print, whereas inkjet printers tend to use water-based inks that will run or smudge if they get wet (or even if they’re simply handled a lot).

Model Of Printer:
The next factor is the exact model of printer that you intend to use. Some models of printer will have limitations that make them entirely unsuitable for printing labels, while others will have features specifically designed to produce high quality print on labels.

As a general rule, if you want to print labels you will need to use a general purpose printer – not an All-In-One Printer or a printer that is designed for a specific purpose other than printing labels (e.g. Photo Printers). All-in-one printers are designed to do a lot of different tasks to a reasonable standard (rather than doing one specific task to an exceptional standard), which means they are often too limited in their specifications to print labels properly (if at all). General purpose printers will usually include a range of hardware and software features that are designed specifically for use when printing labels – to improve the print quality and alignment accuracy that you can achieve.

Some printers will also be limited in the types and thicknesses of materials that they can accept and process properly; labels are made from a variety of materials and are naturally thicker than paper because they are made up of several layers (there are at least three: face material, adhesive, and backing sheet, with some labels having extra layers such as special coatings).

The best thing to do is to check the manufacturer’s manual for the following:

  • Specifications: there should be a section that lists the hardware features and specifications of your printer, including whether or not it has a media bypass tray, along with the types and weights of materials that it can accept.
  • Recommended guidelines: if your printer does have features for printing labels then the manual may also include recommended guidelines for how to print labels (including any specific print settings you should use).

While we don’t recommend any specific models of printer (you do, after all, need to buy one that is suitable for your unique set of printing requirements and budget), we do recommend the OKI and HP brands, as we have found that their printers tend to be able to handle large volumes and thicker materials very efficiently.

Printer Hardware Features
As we mentioned above, you should make sure that your printer has a media bypass tray; this is a secondary tray, usually located just above or below the paper tray, that is designed to accept thicker media (such as labels and envelopes) and to bypass at least one set of rollers within the printer, which produces a straighter path through the machine and reduces the chances of your label sheets rotating slightly as they are printed (improving the accuracy of alignment that you get).

You may also want to check if your printer offers the following features:
Wide Edge Feed (Long Edge Feed) AND Narrow Edge Feed (Short Edge Feed); most printers will have trays that use narrow edge feed, which means that your sheets feed into your printer narrow edge leading (portrait). If your printer offers both types of feed you must make sure that you only use the narrow edge option (and check that your print settings are also set to this option). All of our labels are made with layouts that are designed to feed narrow edge leading, while our paper labels also have a grain (like wood) that goes in this direction. If you feed your labels into your printer wide edge leading (against the grain), you may find that they start to separate from the backing sheet, which can cause your label sheets to jam in your printer.
Edge-To-Edge Printing; also known as “borderless” printing, this feature will allow you to print all the way to the edge of an A4 sheet. Most standard desktop printers cannot do this, which means there will be a border around the edge of your label sheets that your printer simply cannot print – if any part of any of your labels fall into this unprintable area, you will need to adapt your design to make sure that these areas of your template are left blank.

Printer Software Features (aka Print Settings)
Finally, you need to make sure your printer offers suitable print settings for printing labels – AND that you have actually selected these settings when you print. Before printing, check your Printer’s Properties for the following:

  • Page Size: this must be A4 (you should always check this as some printers will sometimes default to American Letter).
  • Media Type/Weight: choose a specific “Labels” print setting if one is available; if not, choose a “Heavy Paper” setting to get the best possible print quality on your labels.
  • Scaling: make sure that no scaling options are applied (for example, a percentage or any “Fit To Page” options).
  • “Ignore Printer Settings”//”Use Driver Settings”: these options will cause your printer to ignore any specific settings that you have selected to use when printing your labels and will use a default set installed in your printer’s driver (software) instead.

December Design Tips & Tricks To Create Wonderful Winter Labels

If you’ve decided to ward off the winter blues with a Christmas project and have settled on some DIY label designing and printing, you might have found that things are turning out to be a little bit more complicated than you first thought. There are plenty of things that can trip you up when it comes to designing a label template and making sure it prints out properly, which means a small project to create some Christmas address labels or gift tags can quickly turn into a frosty nightmare!

BUT DON’T PANIC! We’ve got plenty of tips and tricks to help turn your Christmas Crisis into a Winter Wonderland!

Avoiding Template Troubles

  • Make Sure You Have The Right Template: you must use a template that matches the size and layout of your labels AND pick a template with a file format that your software is capable of editing. For example, we supply Word Templates and PDF Templates; the Word templates can be edited by word processing software such as Word, Pages, LibreOffice etc, while the PDF templates can be edited by graphics packages such as Photoshop or InDesign.
  • Keep Things Simple: if you try to create a really complicated design you may find that you waste HOURS setting up your template, that it never quite looks exactly how you want it to because your software simply isn’t capable of doing what you want it to do, or that your labels end up looking cluttered and messy. If you are creating a design that is made up of multiple layers or elements, we advise working from the background to the foreground to help you keep your design under control.
  • Don’t Expect Your Software To Do More Than It Is Capable Of Doing: while some people will have access to design packages that offer many more design tools and a much higher level of detail and accuracy, others will need to make do with software that is actually designed for other tasks (but has a few design tools that you can commandeer).
    For example: many people use Word to design labels; as a word processor, Word is designed for adding, editing, and arranging text on a page, so it has limited design tools (and accuracy). It will always prioritise text over anything else and you may need to go through a variety of format settings to get your design elements to follow the layout you want BUT it is perfectly possible to create a decent design for your labels (usually by keeping things simple!) and it does offer a number of tools and templates for labels, such as built in Avery templates and a Mail Merge tool for creating address or product labels from a database.
  • Use Copy & Paste (Carefully) To Save Time: the easiest way to design a full template is to create the top left label first and then copy and paste this into the rest of the labels. You do need to take care when pasting to make sure that your document doesn’t automatically adjust itself to accommodate the content you are adding (for example, by increasing the size of your labels, which will destroy the alignment of your template) and you need to avoid accidentally copying content into the gaps between your labels (where applicable).
  • Take Care With Borders, Backgrounds, & “Full Size” Images: these elements can make any slight misalignment in your printed template much more obvious and can lead to areas of white edging around the outside of your labels. We advise that you avoid adding borders if you can or, if you can’t, use a thick or oversized border where possible. If you want to print a full colour background or a full size image (where a single image takes up the full area of each label) but get white edges when you print, you may want to try oversizing your background/image (if possible) to avoid this issue.

Perfecting Your Print

  • ALWAYS, ALWAYS, ALWAYS Test Print Your Template Onto Paper BEFORE You Print Onto Your Labels: this will allow you to confirm if your template and printer are set up correctly AND to make adjustments if they are not – without wasting your labels.
  • Check Through Your Printer’s Properties BEFORE You Print ANYTHING: set your printer to an A4 page size, select a specific “Labels” or “Heavy Paper” print setting, make sure no scaling options (e.g. Fit To Page) are applied, and that no options such as “Ignore Printer Settings” or “Use Driver Settings” are selected.
    If possible, you should also consult your printer’s manual to double check if there are any restrictions as to the types of materials it can print and to see if the manufacturer has included any recommended guidelines to follow when printing labels.
  • Print PDF Templates Directly From The PDF Itself: we have had a number of customers reporting that they have seen alignment problems when printing their PDF template through their design software, which has promptly disappeared when they have tried printing the PDF as a standalone file (e.g. through a document viewer such as Adobe Reader).
  • Always Use Your Printer’s Media Bypass Tray & Load Your Labels Correctly: if your printer has a media bypass tray you SHOULD USE IT to print labels – it is designed specifically for thicker media (such as labels) and offers a straighter path through the printer, which improves the accuracy of alignment that you can achieve. You must also make sure that you load your labels into your printer narrow edge leading (portrait); all of our sheet labels are made with layouts that are designed for this feed direction, with our paper labels also having a grain (like wood) that runs in this direction – if you try to feed your labels wide edge leading (and therefore against the grain) you may find that your labels start to separate from their backing sheet, causing your sheets to jam inside your printer.

Most template troubles and printing problems are caused by something in your hardware or software being set to the wrong setting or using the wrong format – and all it takes is a few small adjustments to get things sorted; a few changes to default settings, formats and sizes, or page margins can make a BIG difference. Take your time and check things through and if you can’t find a solution – just ask!

We’ve created Word & PDF templates for ALL of our label sizes, so if you don’t have an existing template you can use (and don’t fancy trying to make your own), you can simply pop over to our Template Section and download the one you need. REQUEST LABEL SAMPLES
We know that choosing the right label can be a tricky process, which is why we run a free sample request service so you can take a look at and test a few of our labels to make sure that you pick the one that’s perfect for your particular label application. Requesting a sample is a quick and easy way to make sure that you’ve chosen the right colour/material/finish/adhesive for the job AND it’s a great way to have a practice at getting your print alignment just right before you print onto your actual label sheets.

How To Print Christmas Labels Using Word’s Mail Merge Tool

Yes, it is that time of year once again, where we revisit Word’s Mail Merge Tool to help guide you through the process of creating Christmas labels using a Word template and a database (e.g. an Excel Spreadsheet). If you’ve got a list of addresses or a product database that you’d like to turn into Christmas Address Labels or Christmas Product Labels but aren’t sure how to go about setting up a mail merge, this is the blog post for you!

We recommend using the built in “Step By Step Mail Merge Wizard” and so this blog will describe how to complete a mail merge using the Wizard; if you wish, you can choose to do the steps manually.

Things you will need before you start:

  • A saved database, such as an Excel spreadsheet, that contains the information you want to include on your labels (e.g. addresses or product details)
  • The Avery template code that matches your labels, the measurements of your labels, OR a saved copy of a Word template that matches your labels (e.g. one that you have downloaded from our template section!)

GETTING STARTED – Enter the “Step By Step Mail Merge Wizard”

Open Word and create a blank document. Click on the “Mailings” tab at the top of the page, then click on “Start Mail Merge”, and select “Step By Step Mail Merge Wizard”. This adds a Mail Merge pane to the right hand side of your screen, which will guide you through the SIX steps involved in completing a mail merge. Simply follow the instructions at the top of the pane before clicking on the “Next” link at the bottom of the pane to move on to the next step.

STEP ONE: Select document type.
Easy peasy! Select “Labels” and then click “Next: Starting document”.

STEP TWO: Select starting document.
If you are printing labels that are the same as Avery labels, you should use the built in Avery template.
For example, our LP21/63 label size is the same as Avery’s L7160 label size – as shown below.

Leave the top option as “Change document layout” and click on “Label options”. Make sure that the Label Vendor is set to Avery A4/A5 (or Avery Zweckform) and then click OK. This will bring up the template that you will use to design your labels.
If you cannot see the outline of the template, you have Table Gridlines turned off; click on the Table Tools “Layout” tab at the top of the page, and click “View Gridlines”.

If you do NOT have a compatible Avery code then you will either need to use the “New Label” button in the “Label Options” box to enter the measurements of your label sheets to create your own template OR you will need to use the “Start from existing document” option in the Mail Merge pane. Click “Open” to find and select your saved template file. Then click “Next: Select Recipients” in the Mail Merge pane.

STEP THREE: Select Recipients
Leave the top option as “Use existing list” and click on “Browse” to find and select your database. If your database is made up of multiple sets of data – for example, if you have an Excel spreadsheet with multiple sheets – you may be presented with a “Select Table” box; simply select the sheet that contains the information that you want to print and select OK.

If you need to make adjustments to your list, you can use the “Mail Merge Recipients” box to sort, filter, remove, or validate addresses in your list. Once you are happy with your list, or if you don’t need to make any amends, click on the OK button.

You should now see a <<Next Record>> rule in each of your labels APART from the top left label. If you aren’t using an Avery template (or a template you set up using the “New Label” button in “Label Options”) your template will be blank. You need to manually add the <<Next Record>> rule to your labels by left clicking once inside one of your labels (NOT the top left one), clicking on “Rules” in the Mailings tab, and selecting the Next Record option from the list. You don’t have to repeat this for each label; you can simply copy the first <<Next Record>> and paste it into the rest of the labels (NOT the top left one).
Then click on “Next: Arrange Your Labels” in the Mail Merge pane.

STEP FOUR: Arrange your labels
This is the part where you design your labels! You CAN just add your information as a block of text OR you can put in some extra design features, such as a company logo or a friendly picture to personalise your labels.

The easiest way to add information from your database is to use the built in options in the Mail Merge pane (Address block or Greeting line), but you can also use the “More items…” option in the Mail Merge pane or the “Insert Merge Field” option in the Mailings tab to add a placeholder for any bit of information from your database anywhere within your label design. A placeholder takes the form of <<Information Name>> where “Information Name” is the column header from your database; once you complete your merge, each placeholder will be replaced with the relevant piece of information from your database.

You must make sure that the <<Next Record>> rule always comes BEFORE the first bit of information that is pulled from your database in each label.

Mail merge is really designed to create a set of labels that share the same basic design but are each printed with information from a different record in your database (e.g. address labels with the same design but a different address on each label); to design your labels, set up your design in the top left label and then use “Update all labels” in the Mail Merge pane to instantly add your design to the rest of your labels. Alternatively, if you prefer, you can ignore the “Update all labels” option and add different designs to your labels manually.

If you are not using an Avery template or a template you have set up using the “New Label” button in “Label Options”, the “Update all labels” option is NOT available and you will need to set up each label individually – although you can still add your design to the top left label and then use copy and paste to transfer it into the other labels.

If you are using the Address block or Greeting line options, you may need to use the “Match Fields” function to tell Word which column in your database correlates to each element of the built in option. For example, if your spreadsheet doesn’t use the exact same column headings as the different elements in Word’s built in Address block, you can use the “Match Fields” function to tell Word that you want it to use the information from your column “Customer Surname” to fill in the “Last Name” element in the Address block (and so on). This also means you can use the Address block function even if you aren’t creating address labels. Use the “Preview” box to check through a few records to make sure you’re happy with how the information will be displayed.

When you are happy with your design, click on “Next: Preview Your Labels” in the Mail Merge pane.

STEP FIVE: Preview your labels
This step shows you what your labels look like once the placeholders have been replaced with the information from your database. We recommend using the “Preview another label” or “Find a recipient” options to check through a few different records to make sure that your design and layout works for each one. For example, you have may have one or two entries that are much longer than others, which could throw out the positioning of your design (perhaps even pushing some of your design off the edges of your label). If you need to, use the “Previous: Arrange your labels” option at the bottom of the Mail Merge pane to go back and correct any problems that you’ve found.

STEP SIX: Complete the merge
At this stage you can save your mail merged template, print your completed labels, or make some final amends/add personalised finishing touches using the “Edit individual labels” option. When you come to print your labels, we STRONGLY recommend that you do a test print FIRST either by selecting the “From…To” option and selecting the first few records from your database to print ONE page of labels or by setting the Page range option in the “Print” box to “Pages: 1” (see below). You should also click on the “Properties” button to check that all of your printer settings are correct; for example, make sure that the page size is set to A4, select a specific “Labels” or “Heavy Paper” setting, make sure that no scaling options (e.g. Fit To Page) are selected, and that no options such as Ignore Printer Settings or Use Driver Settings are selected.

Test print the first page of your mail merged template onto blank paper so that you can confirm that the alignment of your template is correct (and amend it if it isn’t) BEFORE you print your labels. For example, if your labels are all printing too high, you can go back and increase the top page margin to move all of your designs into the correct position.

The “Edit individual labels” option creates a new document which contains enough pages to display each of your merged labels (where the original mail merge document shows only one page with the first few entries from your database added).
